With over 220 retail sites across the country, Reliance Petroleum (Reliance) is the largest BP distributor in Australia. Reliance employs over 2000 staff across its retail operations, which includes a mix of full-time, part-time and casual employees.
Searching for a solution
The software application that Reliance used before RosterLive wasn’t working for them. It was inefficient for site managers to organise rosters. It didn’t accurately record time and attendance information. The result of not capturing actual employee hours? Discrepancies between what was entered on a timesheet and what actually happened leading to incorrect payments to employees.
Meanwhile, the inability to view costing implications while rostering meant that site managers were also unaware of overtime penalties occurring when sites needed to share employees - an issue directly affecting their bottom line.
Reliance needed a multi-faceted solution: rostering with forecasted costing breakdowns, the ability to capture actual hours with automated award interpretation, and integration with a new payroll solution Neller Preceda.
Choosing RosterLive
Reliance conducted a thorough review of a number of workforce management and payroll applications to find a business solution to their problems. How did they end up choosing Rosterlive?
A key criteria according to Reliance Payroll Systems and Service Manager, Elizabeth Mullen, was a confidence in the professional services they would receive as well as in the capabilities of the product itself:
“The rostering functionality was smart and easy to navigate,” said Elizabeth. “We knew having the costing breakdowns visible on the roster would be a huge help to us. We were confident RosterLive was the best fit for our business on a product and a service level.”
But it was no small order. Reliance has retail sites in every Australian state apart from the Northern Territory. Rolling out a software solution and getting users up to speed required a great deal of planning and organisation. The RosterLive and Reliance project team worked closely together to ensure a timely and efficient implementation that Reliance National Retail HR Manager, Nicole Galt said “was handled with great consideration and flexibility by the RosterLive service delivery team.”
“The service delivery staff took the time to listen and consider how things will directly affect our business. We had some complex requirements, but RosterLive were very flexible and made it clear at every stage what had to be done for a successful project.”
Reaping the benefits
Since rolling out RosterLive across its operations, Reliance is satisfied with the solution. They’ve identified roster costing as greatest business benefits. Elizabeth commented:
“RosterLive has definitely met our needs and fulfilled the high expectations we had starting out. RosterLive has helped avoid unnecessary overtime costs by flagging overtime hours for managers on the roster and allowing them to see costing implications before they actually happen. This had had, in turn, a positive effect on our annual payroll costs.”
Exceeding expectations
Nicole and Elizabeth also noted the support they received from RosterLive after going live. It was beyond their expectations.
“Whenever we did hit a slight bump in the road, the RosterLive support staff were fantastic. They provided fast, clear and logical support instructions in a non-technical language we could understand. They have been a great help to us throughout.”
After such a successful implementation and roll out across its operations, Reliance was happy to provide us with a case study and their endorsement:
“The product has definitely met with our expectations and we will recommend RosterLive to other businesses in the future.”
