With over 200 retail sites across the country, Reliance Petroleum (Reliance) is the largest BP distributor in Australia. Reliance employ over 2000 staff across its retail operations, which includes a mix of full time, part time and casual employees.

Searching for a solution:

Previously Reliance were using a software application which was inefficient for site managers to organise rosters and capture accurate time and attendance information. Without the ability to accurately capture actual employee hours, discrepancies emerged between what was entered on a timesheet and what actually happened—leading to incorrect payments to employees.
Without the ability to view costing implications while rostering, site managers were also unaware of overtime penalties occurring when sites needed to share employees—an issue directly affecting their bottom line. 

Therefore, Reliance needed a solution providing rostering with forecasted costing breakdowns, the ability to capture actual hours accurately with automated award interpretation, along with integration with a new payroll solution Neller Preceda.

Selecting a solution and project management

Reliance conducted a thorough review of a number of prospective workforce management and payroll applications to find a business solution to meet the process limitations they were experiencing. According to Reliance Payroll Systems and Service Manager, Elizabeth Mullen, key criteria in Reliance’s decision to select RosterLive was the advanced product tools and a confidence in the professional services they would receive.

 “The rostering functionality was smart and easy to navigate,” said Elizabeth. “Having the costing breakdowns visible on the roster we knew would be a huge help to us. We were confident RosterLive was the best fit for our business on a product and a service level.”

With retail sites in every Australian state apart from the Northern Territory, rolling out a software solution and getting users up to speed and proficient requires a great deal of planning and organisation. The RosterLive and Reliance project team worked closely together to ensure a timely and efficient implementation, which Reliance National Retail HR Manager, Nicole Galt said “was handled with great consideration and flexibility by the RosterLive service delivery team.”

“The service delivery staff took the time to listen and consider how things will directly affect our business. We had some complex requirements, but RosterLive were very flexible and made it clear at every stage what had to be done for a successful project.”

Since rolling out RosterLive across its operations, Reliance is satisfied with the resulting solution and identified roster costing as one of the most visible areas where RosterLive had delivered great business benefit.
RosterLive has definitely met our needs and fulfilled the high expectations we had starting out. RosterLive has really helped avoid unnecessary overtime costs by flagging overtime hours for managers on the roster and allowing them to see costing implications before they actually happen. In turn this has had a positive effect on our annual payroll costs,” Elizabeth said.
Nicole & Elizabeth also noted the support they have received from RosterLive being beyond their expectations after going live.
